At ReviewPilot, we take your privacy seriously. This policy explains what data we collect, how we use it, who we share it with, and what rights you have. We wrote this to be readable by a normal person, not a team of lawyers.

1. What Data We Collect

When you use ReviewPilot, we may collect the following information:

• Account info — your name and email address when you sign up.
• Business info — your business name, location(s), and Google Business Profile data (reviews, ratings, responses).
• Google review data — reviews and metadata pulled from your connected Google Business Profile.
• Customer contact info — phone numbers and email addresses you provide when sending review requests.
• Billing info — payment details are collected and processed by Stripe. We do not store your card number on our servers.
• Usage data — basic analytics about how you interact with the platform.

2. How We Use Your Data

We use your data to:

• Provide and operate the ReviewPilot service.
• Generate AI-powered responses to your Google reviews.
• Send review requests to your customers via SMS and email on your behalf.
• Process billing and manage your subscription.
• Improve our product and fix bugs.
• Communicate with you about your account or important service updates.

We do not sell your data. We do not use your data to serve ads.

3. Third-Party Services

We rely on a small number of trusted third-party providers to run ReviewPilot. Each has access only to the data they need to perform their function:

• Supabase — database and authentication.
• Stripe — payment processing and subscription management.
• OpenAI — AI-generated review responses.
• Twilio — sending SMS review requests.
• Resend — sending email review requests.

We encourage you to review the privacy policies of these providers if you want to understand how they handle data on their end.

4. Data Retention

We keep your data for as long as your account is active. If you cancel your subscription, we retain your data for 90 days in case you decide to come back. After that, it is permanently deleted from our systems.

Billing records may be retained longer as required by law or for accounting purposes.

5. Your Rights

You have the right to:

• Access your data — request a copy of all the data we have about you.
• Delete your data — ask us to permanently remove your account and all associated data.
• Export your data — get a machine-readable export of your data.
